Cash balance as an admin or accountants

Use cash balances to track what spenders owe your company and what your company owes spenders.

Understanding company balance

  • Positive company balance: Spenders owe money to the company

  • Negative company balance: The company owes money to spenders

Exporting reimbursements

Exporting reimbursements to your accounting system can be done in a few clicks. See Exporting reimbursements with Cash Balance set up.

Managing cash expenses

All cash expenses should be submitted as reimbursements. Once approved, reimbursements increase the spender's cash balance, clearing the cash they owe. Cash withdrawals decrease it.

You track cash balances from Cash Balance → Members' Cash Balance. Cash withdrawals and reimbursements are tracked separately from card transactions, so they do not appear with your card expenses.

How to make manual adjustments to your cash balance in Pemo

You may need to adjust a spender’s cash balance when an amount has been settled outside Pemo or personal funds haven't been tracked.

  1. Go to Cash Balance → Members' Cash Balance in your Pemo dashboard.

  2. Choose the spender whose balance you want to adjust, then click Adjust cash balance.

  3. Choose one of the following options:

  • Add to Balance: Use this if the spender has used personal funds that weren't tracked in Pemo. This increases their tracked balance, meaning the amount they need to be reimbursed for will be higher.

  • Reduce balance: Use this when the amount has already been settled outside Pemo, for example through payroll.

  1. Add a brief comment explaining the reason for the adjustment. This helps with tracking and maintaining transparency.

In this example, the spender was owed 1,000 AED before the manual adjustment. The amount was paid to the spender as part of last month’s salary. To reflect this payment in Pemo, select Reduce balance and enter the amount already reimbursed.

Your manual adjustment is now reflected in the spender’s cash balance.
