Payment checks: duplicates, bank details and first payments

Pemo checks every bill and payment for three common risks: a bill entered twice, bank details that don't match the vendor, and a first payment to an account Pemo hasn't paid before. Each shows a banner on the bill. None blocks you, but read each one before you pay.

Before you start

  • Who: the AP Clerk, approvers and the POA each see the banners.

  • Where: web or mobile app.

Duplicate bill

Pemo flags a bill with the same invoice number and vendor as another bill, paid or not. The banner says Duplicate bill detected.

  1. In the left sidebar, select More → Bills, then open the bill with the banner.

  2. Select View duplicate to compare the two.

  3. If it really is the same bill, select Delete bill. If it isn't, select Not duplicate.

Bank details don't match

If the bank details on the invoice differ from the vendor's details in Pemo, the banner says Invoice bank details don't match Pemo records. Verify before paying.

  1. In the left sidebar, select More → Bills, then open the bill with the banner.

  2. Select Check details and compare the two sets of details.

  3. Update the vendor's payment details, or dismiss the banner if Pemo's details are right.

First payment to an account Pemo hasn't paid before

When you pay a vendor for the first time, or to a bank account Pemo hasn't paid before, the bill shows New bank details: "This is your first payment to these bank details. Please review it before sending." Check the details before you go ahead.
