Using your Card Expenses tab

Your go-to space for reviewing, approving, and managing card spend—faster and with full clarity.

The Card Expenses section has been redesigned to match how teams actually spend and work. Instead of cluttered views, you’ll now only see successful purchases and withdrawals—cutting out the noise so you can focus on what matters.


What’s new in card expenses

  • Only relevant transactions

    You’ll only see successful purchases and withdrawals—no pending authorisations, reversals, or test charges.

  • Simplified, guided workflow

    Built to help you spot what’s missing, what’s pending, and what’s done—at a glance.

  • Smart status labels

    Missing Info – Needs receipt or notes

    Pending Approval – Awaiting action from an approver

    Approved – Reviewed and approved

  • In-app comment notifications

    Get alerts when someone adds a comment—no need to chase updates elsewhere.

  • Send reminders in a few clicks

    Approvers can nudge team members to complete missing info directly from the app—skip the email or Slack follow-ups.

This update is designed to save you time. You’ll spend less energy figuring things out—and more time getting things done.


Navigating the card expenses view

When you open the Card Expenses tab, here’s what you can do:

1. View total card spend

See the total amount of all card expenses based on your selected filters and date range.

2. Track what needs approval

Get a quick snapshot of how many expenses need your approval—based on your company’s approval policy.

3. Spot rejected expenses

Easily identify rejected card expenses—filtered by your chosen criteria.

4. Understand transaction status

  • Completed – the transaction went through successfully and the funds were transferred as expected

  • Reversed – the transaction was cancelled or refunded; the funds were not deducted or have been returned

  • Pending – the transaction is still being processed; no action is needed unless it stays pending too long

  • Declined – the transaction failed (click the transaction for more details and how to fix it)

5. Check submission status

Quickly see which expenses need action from your team based on your submission policies:


Missing Info – Receipt or notes are still required

Submitted – All required details have been provided

6. Know the approval status

Approval Needed – Outside company policy, needs approval
Not Needed – Within policy, no approval required
Approved – Reviewed and approved


Bonus tips for power users

  • Switch between your own and team expenses

    Toggle views easily to manage both personal and team spend.

  • Use filters to refine your view

    Drill down by cardholder, status, or date range.

  • Set your custom view as default

    Apply your filters, then click “Set as Default” to save time every time you return.
