Before you export expenses from Pemo to your accounting system, review them on the Accounting export page: check that the required accounting fields are filled, fix anything missing, and mark the expenses as ready. The review is the same whether you export to QuickBooks, Xero, Zoho Books, Wafeq or Odoo.
Accounting export has four tabs: Transactions, Wallet movements, Reimbursements, and Bills (shown as Invoices if your company is not on Bill Pay).
You can set an accounting field on several expenses at once, or open one expense and review it in full detail. Bulk editing is available on the Transactions, Reimbursements and Bills tabs. Wallet movements cannot be bulk edited; edit those rows one at a time.
Before you start
Web only.
You need to be a Super Admin, Admin or Accountant.
Your accounting setup must be complete before the Accounting export page will let you edit fields. If the page shows You need to complete the accounting setup first, finish the setup first. The Accounting export page offers guided tours under How it works, Set up guide and Set up tour: Accounting set up walks through the steps, Get an overview explains how Pemo accounting export works, and Exporting expenses covers the export itself.
Expense statuses
Each expense on the Accounting export page has a status:
Incomplete: a required field is missing, such as Chart of Account, Vendor or VAT.
Complete: all required fields are filled.
Ready for Export: your team has reviewed the expense and marked it as ready.
A card transaction that is still awaiting settlement cannot be marked as ready until its billing amount is confirmed.
Applying accounting fields to several rows
Go to Accounting export and open the tab you want to work in.
Tick the rows you want to edit. A bar appears showing, for example, 3 selected.
Open the field you want to set and choose a value. Use Search for ... in the dropdown to find a value in a long list.
If any of the selected rows already have a value in that field, Pemo asks You are overwriting accounting fields on ... Are you sure you want to proceed? Choose Yes, overwrite to replace the existing values, or No, cancel to leave them as they are.
Select Deselect all when you are finished.
Reviewing an expense individually
Open an expense to see the receipt and the expense details side by side. You can check the payment status, approvals and policy compliance, confirm the account, vendor, VAT and description, and move between expenses without closing the detail view.
Using Pemo Copilot
Once Pemo Copilot is activated, Pemo categorizes expenses automatically by Chart of Account, Vendor and VAT. Review or edit the suggestions before you mark the expenses as ready. If you did not activate Copilot during setup, you can enable it in your Accounting settings.
Marking the selection as ready
With the rows still selected, choose Mark as ready.
Rows that cannot be marked as ready, for example a card transaction that is still awaiting settlement, stay unchanged, and the button tooltip explains why. Once rows are ready, you can export them as usual.
Removing rows from the export list
Select the rows you do not want in this export.
Choose Remove from export list, then Confirm.
To find them again later, select Show in Exported List on the Accounting export page.
Removed rows are excluded from the accounting export, not deleted.
