How to Link Pemo to Zoho Books — Step-by-Step Guide

Updated yesterday

Connecting Pemo to Zoho Books helps you sync expenses, vendors, VAT rates, and chart of accounts automatically — saving time, reducing manual work, and keeping your books accurate and audit-ready.

This guide walks you through the setup, step by step.

1. Check your access

Before you begin, make sure you have the right permissions:

  • In Pemo: You need to be an Admin or Accountant.

  • In Zoho Books: You need Admin access to connect integrations.

2. Start the connection in Pemo

  1. Log in to Pemo.

  2. Go to Accounting ExportCard Expenses.

  3. From the dropdown list, select Zoho Books, then click Get Started.

3. Log into Zoho Books

  1. You’ll be redirected to the Zoho Books Authorization Page.

  2. Enter your Zoho Books credentials.

    • If this page doesn’t appear, visit zoho.com/books to confirm you’re logged into the correct account.

    • Alternatively, log out and restart the connection to select the right organization.

  3. Click Accept to grant Pemo permission to access your accounting data.

  4. Choose the company (Zoho organization) you want to connect.

Reminder: Only Admin users in Zoho Books can authorize the connection.

4. Choose your payment account

Once Zoho Books is connected, select the Payment Account that represents your Pemo Wallet in Zoho Books.

  • If you already have a suitable account (e.g., a wallet or bank account), select it.

  • If not, you can create one directly in Pemo during setup.

💡 Pemo Power Tip: You can update or change your payment account anytime from your Accounting Settings.

5. Data sync from Zoho Books to Pemo

After setup, Pemo automatically imports key accounting data from Zoho Books:

  • Chart of Accounts (e.g., expense categories)

  • Vendors / Contacts

  • VAT rates

  • Projects or Cost Centers

This ensures your expense categories and accounting structure in Pemo perfectly match your Zoho Books configuration.

Once the connection is live, activate Pemo Copilot — our AI-powered assistant that auto-categorizes expenses by Chart of Account, Vendor, and VAT, helping you save time and improve accuracy.

6. Review and organize your expenses

Head to Pemo’s Accounting Export page to review and organize your expenses before exporting.

Only settled expenses appear in this view — unsettled or pending ones will appear once confirmed.

Expense statuses explained

  • Incomplete: Missing required accounting fields (e.g., Chart of Account, Vendor, VAT).

  • Complete: All required fields are filled.

  • Ready for Export: Reviewed and marked ready by your team.

Bulk actions for efficiency

For teams handling multiple transactions, bulk actions make it easy to process expenses quickly:

  1. Apply filters (e.g., all transactions from Careem).

  2. Select all matching expenses.

  3. Use Edit to assign fields like Account, Vendor, or VAT.

  4. Mark all completed expenses as Ready for Export in one go.

Review individually with full context

For a detailed review, use Pemo’s expense view to:

  • View receipts and details side by side.

  • Check approvals, payment status, and compliance.

  • Switch between expenses without closing the detail view.

7. Export with one click

Once expenses are categorized and marked Ready for Export, exporting them to Zoho Books takes just one click.

After export:

  • The expenses will disappear from the main table.

  • You can find them anytime in the History section.

  • All exports can be downloaded in CSV format for reference.

8. Understanding Pemo integration permissions

When connecting Zoho Books, you’ll see a Consent Page outlining the permissions Pemo needs to ensure a secure and transparent integration.

Permissions overview:

  • ZohoBooks.contacts.READ – Retrieve customers and vendors.

  • ZohoBooks.accountants.READ / CREATE – Retrieve or create payment accounts.

  • ZohoBooks.expenses.CREATE – Export card expenses from Pemo.

  • ZohoBooks.bills.CREATE – Export out-of-pocket expenses and invoices.

  • ZohoBooks.settings.READ – Retrieve VAT rates and accounting settings.

  • ZohoBooks.projects.READ – Retrieve projects or cost centers.

🔒 Pemo never sends data automatically — exports only happen when you initiate them, giving you full control.
